Purchase order center

A purchase order (PO) is a commercial document issued by a buyer to a seller, indicating the types, quantities, and agreed prices for products or services the seller would provide to the buyer. Sending a purchase order to a supplier constitutes a legal offer to buy products or services.

 

Acceptance of a PO by a seller usually forms a contract between the buyer and the seller. It is used to control the purchasing of products and services from external suppliers.

 

Fusion Cash Management (FCM) enables you to create or upload POs. The seller can accept a PO generated in FCM and process the order. This PO is also linked to the invoicing system. Using this invoicing feature you can create invoices against a PO.

 

FCM also allows a supplier to create a PO on-behalf of buyer and the buyer can verify the PO before processing it.

 

The key activities associated with the PO facility of FCM are:

       Buyer creates a PO and seller accepts the PO.

       Supplier creates a PO and the buyer verifies it.

       Raising invoice against a PO.

       Making payments against a PO.

       Raising finance request against a PO.

 

All activities related to PO are performed from Purchase Order Center.

 

1.     Navigate to SCF.

2.     Click PO Centre >> Purchase Order. The Purchase Order page is displayed.

Description

Filters

You can narrow down the required definitions using the logged in as, status, and entry date filter criteria. For more information about creating a new filter, see Creating a new filter.

 

To clear all applied filter, click Clear Filters.


Retaining Filters:  Selected filter values are retained for the period that you are logged in even when you navigate to other pages. Filters values are reset to default only after you logout of the system or clear filters.

Group By

The existing POs are listed on the grid based on the selected group on the settings page.

PO Actions

You can select a PO and perform the required action. The available options are:

       Submit: Enables you to submit a PO for approval.

       Approve: Enables you to review the PO detail and approve.

       Discard: Discard the last action performed on the PO.

       Send: Send the PO to the bank for processing.

       Accept: Enables you to accept a PO raised by a seller.

       Pay Now: Enables you to raise the full payment request for a PO. This option is available in the buyer mode only.

       Request Finance: Enables you to initiate single finance requests to be initiated against an accepted invoice based on the configuration.

       Reject: Enables you to reject a PO with the reasons for rejecting.

       Payment Bond: Enables you to bind the debtor to make a repayment based on the terms agreed in the contract. Seller can request for a payment guarantee/bond from the buyer.

Selection Box

Select the check box corresponding to the transaction and perform the required action.

Select dropdown

Enables you to perform following actions:

       View Record: Use to view the PO.

       Create Invoice: Enables you to create an invoice against a PO.

       Pay Now: Enables you to raise either full or partial payment request for a PO. This option is available in the buyer mode only.

You can specify the total or partial amount of payment.

Pagination Bar

Depending on the volume of data displayed in the list, the list can have one or more pages. You can navigate through the page by using the pagination bar.

View

Click to see or set number of PO records on a single page.

Create Purchase Order

Click to create a purchase order.

Export

You can export the summary information to the required format such as XLS, CSV, TSV, Fedwire.

If you want to export the header details, select the With Header check box.

Report

You can generate a PDF report of the summary information.
